Privacy notice
What we collect, why we collect it, how long we keep it and what you can make us do about it.
Who we are

What we collect
- Quote and enquiry details: your name, phone number, email address, collection and delivery postcodes, dates, and whatever you tell us about the job.
- Job records: addresses, access notes, inventory, delivery confirmations and photographs taken as proof of delivery.
- Driver and hirer records: where you hire a van or apply to drive, licence details, DVLA check codes, proof of address and right to work documents.
- Site analytics: aggregate page view data through Cloudflare Web Analytics, which is cookieless and does not identify you or track you across sites.
Why, and on what lawful basis
- To quote and carry out the job. Performance of a contract, or steps taken at your request before entering one.
- To meet legal duties. Legal obligation, covering tax records, right to work checks, and responding to penalty charge notices and enforcement authorities.
- To keep records of what was agreed and delivered. Legitimate interests in defending claims and resolving disputes.
- To improve the website. Legitimate interests, using data that does not identify you.
Who we share it with
Only where the job or the law requires it: the driver carrying out your job, our insurers where a claim arises, our accountant, and enforcement authorities such as the DVLA, Transport for London or a local authority where a penalty charge has to be answered. We do not sell your data, and we do not share it for anybody else's marketing.
Our website is hosted by Cloudflare and quote form submissions are delivered to us by a form processing service. Both act as processors on our instructions.
How long we keep it
- Quote enquiries that do not become jobs: 12 months.
- Completed job records and invoices: 6 years, which is the limitation period for contract claims and the retention period HMRC expects.
- Hire and driver agreements, including licence and right to work records: 6 years from the end of the agreement.
Your rights
Under UK GDPR you can ask us for a copy of the personal data we hold about you, ask us to correct it, ask us to delete it where we have no continuing reason to keep it, object to or restrict how we use it, and ask for it in a portable format. Write to bookings@elsalilogistics.co.uk and we will respond within one month.
If you are not satisfied with how we have handled it, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We would rather you came to us first.
Cookies
This site sets no cookies and runs no advertising or cross-site tracking. Our analytics are cookieless and aggregate only, which is why you are not being asked to accept anything.
